Receiving financial statements via email
Overview
To monitor and analyse financial results data for your projects inIn the ecommpay payment platform, you can set up regular preparation of financial statements and their subsequent delivery to you via email. The emails will contain links granting you authorised access to downloading of these financial statements that include operational totals, charged fees, and balance information for a specified time period and can be used for final analysis and reconciliation.
Special aspects
When working with the financial statements delivered via email, keep in mind the following special aspects:
- Controlled access. To ensure authorised access to financial statements, we implement authorisation via the specified email and cookies of the browser in use. It guarantees that the statements are downloaded only by authorised devices and via authorised browsers.
- Storage time and up-to-dateness. Financial statement files are stored in the payment platform and are available for download without any time restrictions and any updates afterwards. Each statement is considered up to date at the moment of its preparation and is not continuously updated afterwards.
- Structure and format. Each financial statement contains specific data for a specific balance and can be downloaded as a PDF or XLSX file while a group of statements prepared simultaneously can be compressed into a single ZIP file. In addition, if there are no up-to-date nonzero values, the statement will include zero values, without any changes to its standard structure. The structure of the emails that contain links for statement download and the types of data included in a statement remains always the same.
Setup and configuration
If you need to receive financial statements via email or if you need to introduce changes to the set up delivery, coordinate with the ecommpay technical support the email list of the recipients and the sender, the reporting time periods, and the desired time of statement preparation and emailing.
Downloading financial statements
To ensure that the email recipients have the permission to download financial statements, we implement authorisation mechanisms for accessing the statement file storage. The authorisation is determined during the first interaction with the storage, after two days since the previous authorization attempt or file preparation, or when a different device and browser are used for accessing the statement.
If you are not required to get authorised to access a financial statement, all you need to do is to open the email and download the statement by clicking Download reports.
If you are required to get authorised, you need to do the following to download a statement:
- Initiate an authorisation process to access the statement file storage.
Open the email you received from ecommpay and follow the link by clicking Download reports.
If necessary, search for the email you need by email subject. As a rule, the subject contains a line in the following format:
XXXX_ZZZZ_Statement(s) for:[DD.MM.YYYY-DD.MM.YYYY]whereXXXXis an identifier of ecommpay whileZZZZis an identifier of the merchant's project set up during integration. - Get authorised.
Go back to your mailbox, openOpen the email from ecommpay with the subject line Email confirmation sent to you after you have completed step 1, and follow the link by clicking Confirm email
Note: Each authorisation link is valid for 10 minutes. Once this time period expires, go back to step 1. - Download the financial statement (or the ZIP file with the statements).

- Make sure the file has been downloaded.
There will be a notification in the opened tab and the status of the file download shown in the browser. If the download is not happening, go back to step 3 or contact the ecommpay technical support.
